Board of Directors Meeting, October 7, 2020

Melodie called the meeting to order.
OLD BUSINESS:
Barbara opened the meeting with the reading of the minutes from last month and the accomplishments:
- The City of Margate has finally completed the cleaning of the algae from the canal.
- Our tree company has completed the removal of the two concerning trees, one in the cluster behind C5U3 and one on the golf course behind C3U7 and C3U8. The trees in the cluster have also been trimmed back.
- The new updated Amendments to our Bylaws have been completed, voted on and filed with the Broward County. Copies of the Official Amendments have been mailed out or emailed to all Owners. If you did not get them, please contact us.
NEW BUSINESS:
- The Board has previously been unable to locate the back-flow system. In response to a letter we received, Joe will be working on this issue with the City of Margate and the back-flow testing company to identify it, test it and resolve this issue
- A tentative sprinkler check has been scheduled for October 19th since the canal has been cleaned and we will be able to put our sprinkler system back on.
- The Board has been aware of the opening in the hedges at the pool area along Margate Blvd. Due to all the expenses we have incurred this year we have not been able to put up solid fencing across Margate Blvd. Joe will be putting a temporary fence to close the opening in an effort to keep people from walking through to our pool.
- As the new Amendments to our Bylaws have gone out to the owners, all owners will also receive an updated copy of the Rules and Regulations which is a simple summary of what’s in our Governing Documents. We will be sending the Rules and Regulations in Spanish to all of our Spanish speaking owners. The updated Rules and Regulations are available to read on our website. Anyone who does not have email will receive them by mail. Please read these to know what the Association requirements are pertaining to living in our Homeowners Association.
- Melodie discussed the possibility of developing a Fine Committee for sometime in the future in 2021. It requires three Owners who will volunteer to be on the Fine Committee. They would meet approximately 30 minutes per month to discuss any violations that are prevalent in our community because the situation was not corrected. This Committee would only meet if the Board requests a meeting.
- Barbara will create a form to submit for Owners that are planning to do work on the common area of their villa, It will be available on our website or from the Secretary.
- The Clubhouse is now open with 50% capacity. Any person wanting to use the clubhouse for any events will have to notify the Board in order to schedule a date and time of use to add to our Association calendar. (This calendar is viewable on our website. This will avoid double bookings. All guidelines of cleanliness will still be enforced and masks worn.
- We hope to pressure clean the pool area and furniture and umbrellas will be returned to deck. Please sanitize your lounge chairs when leaving. There will be wipes or spray in the clubhouse.
- Barbara and a few of our ladies will be working on a face lift for our clubhouse decor as well as cleaning out the cabinets above the kitchen! She will also be planning a few events for the month of November and holiday time in December. We hope that you will enjoy participating in some of the events. It will be nice for our community to get to know one another and enjoy spending some time together. Details will be sent out to all by our calendar, via email, and printed signs on our bulletin boards by the mailboxes.
- Our Annual Meeting that we usually hold in February will be moved to this coming December. The tentative date will be December 8, at 7 PM at the clubhouse. November 7th a sign up will be available for Board positions and November 14, letters with proxy votes will be mailed out to all Owners.
- The Board discussed resealing and restriping our roadways. We have all agreed that our roadways are in very bad shape and have not been done in years. We have put this tentatively on our calendar for January 2021. We already have three estimates and funds will be available at that time after maintenance fees have been collected. There will NOT be any assessment requested. Notice will be given for exact dates closer to the time this is done.
