Board of Directors Meeting, November 11, 2020

BOARD MEMBERS PRESENT: President, Melodie Savoca, Treasurer, Marshall Hyman, Secretary, Barbara Reul
Melodie called the meeting to order.
OLD BUSINESS:
Barbara read minutes from October’s meeting, all things were accomplished or in the works.
- Joe is working with the backflow company and the city to resolve our inspection issue.
- Our case with GRC has been resolved. We had a dispute with GRC, our previous lawn company, regarding services that were never performed, GRC was suing us for non-payment. Our new attorney arrived at a settlement out of court. Final releases have been secured by both parties.
- Marshall has been preparing all of the documents for the annual meeting which includes the voting for the Board of Directors for many years, he has now turned all of the documents over to our Secretary, Barbara, she will be preparing the proxies and mailing all pertinent documents out to all Owners in preparation of our Annual Meeting, December 8th, 2020 at 7PM at the Clubhouse.
NEW BUSINESS:
- One of our Owners in C10U3 has assumed the responsibility of the clubhouse cleaning as of November. The Association was given their resignation by the previous person in charge of cleaning at the end of October.. Replenishment of cleaning supplies were purchased and brought to the clubhouse.
- Presently there are 2 villas for sale in our community. C3U2 had a contract for purchase and the last minute it fell through. Also C6U8 is on the market.
- The candidates that are running for positions and will be on the Proxy ballot for our 2021 Board of Directors are as follows:
- President – Melodie Savoca (C11U6)
- Vice President – Lou Grunes (C10U6)
- Vice President – Barbara Venter (C9U5)
- Treasurer – Gelly Dossman (C3U10)
- Secretary – Barbara Reul (C3U3)
- Member at Large – Jeff Mandell (C2U6)
- Melodie Savoca and Barbara Reul are running for a second term in their same positions. Marshall Hyman will be retiring at the end of this year from the position of Treasurer to work with his wife Brenda in their home business. Marshall has done an incredible job, undertaking much more than his position as the Treasurer. Our sincere thanks to Marshall for all his time and efforts to our community. Gelly Dossman is the candidate running for the position of Treasurer. Gelly is well qualified as she is a bookkeeper and business owner with many years of accounting experience. She also speaks Spanish perfectly and will help by emailing out Spanish emails for us where needed.
- Garden Patio Villa’s financial CD’s have matured. This money is from our Reserve fund for emergencies. These funds were transferred to a savings account until better interest rates are available.
- The documents (original by-laws) that were in our safety deposit box from our previous bank will be turned over to our Secretary for safe keeping.
- Marshall commented on the fact that our new attorney will save us a considerable amount of money in the future. She handled our law suite and the preparation of our amendments in a very professional way at a much lower cost than our previous attorney. She was an excellent choice.
- Marshall also commented on the fact that our new lawn service hasn’t charged us for additional parts as our previous company did. We are happy with that choice as well. They are doing a good job.
- Marshall will also be preparing our 2020 annual budget for our community to be presented at our annual meeting. This will probably be the last task that he will have to do as the Treasurer.
- We discussed the problem we have had with the mail delivery. We have several new Mail Persons, since the regular mail lady has been on a medical leave. To help with this, we are asking all Owners to be sure to put your correct unit number when ordering anything, example; C1U1. In addition, if you get mail belonging to someone other than yourself, kindly put it in the black mailbox.
- We reviewed and discussed some of the issues regarding the appearance of the villas. All trees and bushes that are on Association property will be trimmed by our lawn service. Some Owners tell the lawn workers not to trim them. If they are on Association property it is up to the discretion of the Board of Directors which represents the Association. Bushes and trees within the 15’ Owners’ property are the Owners’ discretion.
